1Who we are
Kaptio ("we", "us") is the developer of the Kaptio app and this website, and is responsible for the personal data described here. You can reach us at [email protected].
2What we collect
Using Kaptio requires signing in with a Google account. Our servers store only the following:
Like any website or online service, our server also sees your IP address when your device connects to it. We use it to deliver the service and to limit abuse (for example, too many sign-in attempts), and we don't store it in your account.
3Your videos and audio
Your videos never leave your phone. When you create captions, the app extracts only the audio track on your device and sends it to our server over an encrypted connection. Our server forwards it to a speech-recognition provider to get the words and their timings, returns the result to your phone and then deletes the audio. We don't keep the audio or the transcript.
If you ask for a translation, the text of the captions is sent to an AI translation provider in the same way, and the translation is returned to your phone without being stored by us.
4What stays on your device
Your projects, captions, styles, edits, exports and, if you enable it, the in-app copies of your videos are stored only on your phone. We can't see them. They're removed when you delete them in the app or uninstall it.
5How we use your data
- To provide the service: creating and translating captions, keeping your time balance and applying your subscription and codes.
- To prevent abuse and fraud: daily limits on free videos, verifying ads and purchases with Google, and blocking accounts that break our Terms.
- To fix problems: crash reports and aggregate usage figures (for example, how many videos were processed in a day).
- To show ads in the free tier (see section 7).
Where the GDPR or similar laws apply, we rely on the performance of our contract with you (providing the app), our legitimate interests (security, fraud prevention and improving stability), our legal obligations (for example, keeping purchase records for accounting) and, where required, your consent (for example, for personalized ads).
6Service providers
We don't sell your personal data. We share it only with providers that help us run Kaptio, and only what each one needs:
- Google: Google Sign-In (your account), Google Play (subscriptions and refunds in the Android app) and Google AdMob (ads).
- Stripe: card payments for subscriptions on the web (Stripe receives your email and payment details directly; we only keep its identifiers and your invoices).
- Speech-recognition and AI providers (currently AssemblyAI, and OpenRouter, which routes requests to AI model providers): they receive the audio to transcribe, or the caption text to translate, without your name or email.
- Hosting: the provider of the servers where our database runs.
We may also disclose data if the law requires it. Some of these providers process data outside your country, including in the United States; where required, transfers are protected by appropriate safeguards such as Standard Contractual Clauses.
7Ads
In the free tier you can watch a short ad to caption a video. Ads are served by Google AdMob, which may collect device information such as the advertising ID, IP address and how you interact with the ad, as described in Google's policy. Where required, you'll be asked for consent first. You can reset or delete your advertising ID in your Android settings. Paid videos don't show ads.
8How long we keep it
- Audio and translation text: only while the request is processed, then deleted.
- Account, balance, processed-video records, codes and sessions: while your account exists. Sessions also expire on their own.
- Video time balance: each month's hours of your subscription are reset when it renews and removed when it ends, as described in the Terms of Service. Gift time from codes expires if your account has no activity for 12 consecutive months; we keep the date of your last activity only for this.
- Subscription and billing records: your plan, its renewals and changes, and the payment provider's identifiers (Google Play or Stripe), kept while your account exists and afterwards without personal data, as accounting law requires.
- Crash reports: until the problem is fixed.
- Purchases: kept for accounting and legal obligations. If you delete your account they are kept without your name, email or account.
When you delete your account we keep only an anonymous fingerprint of your Google account ID (a one-way hash that can't tell who you are), so that redeemed codes can't be used twice and account bans keep working.
9Your rights and choices
You can see all the data we store about you and delete your account at any time:
- On the web: Your data & account (sign in with the same Google account you use in the app).
- In the app: Settings → Privacy → Your data & account.
Depending on where you live, you may also have the right to access, correct, export or delete your data, to object to or restrict some processing, and to withdraw consent. To exercise these rights, contact us at [email protected]. You can also complain to your local data-protection authority.
10Security
Data travels over encrypted connections (HTTPS). Session tokens are stored only as hashes, purchases and ad rewards are verified with Google on our server, and access to the database is limited to the people who run Kaptio. No system is perfectly secure, but we work to protect your data and to keep as little of it as possible.
11Children
Kaptio isn't directed at children under 13, or under the minimum age required by the law of your country to use online services without parental consent. We don't knowingly collect data from them. If you think a child has given us data, contact us and we'll delete it.
12Changes and contact
If we change this policy, we'll update the date at the top and, for important changes, let you know in the app. For any question about your privacy, write to [email protected].
